Students → Manual Record Entry
Manual entries add lines to a student’s transcript or permanent record without re-entering an entire historical year as live course units. Use them for:
- Transfer credits from previous schools
- Years taught before you adopted RecordGrade
- One-off courses that will not be taught again in the live gradebook
Entries typically include year labels, course titles, categories, grades/credits as applicable. You can import manual entry rows when migrating large histories.
When to use manual entry vs courses

CSV imports
RecordGrade supports spreadsheet imports in several areas (exact columns vary by form—use the sample/template cues on each import dialog):
- Students — roster onboarding
- Year enrollments — bulk assign students to a year/grade level
- Courses / units — structure migration
- Unit grades — prior unit scores when you are not re-entering tests
- Manual entries — bulk transcript history
Always validate a small sample import before loading an entire campus file. Fix category names and grade levels so they match existing school setup.
What imports cannot replace
- Full report-card analytics and performance charts need course-based grade data.
- Imports do not skip year enrollment rules—students still need correct enrollments for live pages.
- Locked historical integrity still applies: do not delete years that contain imported academic history.
